If you’re providing a courtesy vehicle to a customer, or if a prospective purchaser wishes to test drive a vehicle unaccompanied, it’s important you take precautions to prevent theft and road accidents.

Always inspect the driver's physical licence before agreeing to it – never accept photocopies. Confirm the information by asking them to obtain a 'driving licence code' that will allow you read-only access to their driving record via gov.uk/view-driving-licence. Key actions when allowing unaccompanied demonstratons or providing courtesy vehicles

  • Make sure you’re doing everything required by relevant insurers.
  • Only allow an unaccompanied demonstration if the driver:
    • is between 25 and 70 years of age;
    • has held a full British driving licence, valid for the vehicle in question, for at least one year;
    • has not been involved in more than one collision or other motoring incident for at least three years;
    • has no convictions under the Road Traffic Act and has less than six penalty points;
    • is not awaiting prosecution for any criminal offence (except for parking or speed offences, unless there is more than one);
    • is able to verify their identity with at least one document with photo ID, in addition to their driving licence, such as a passport; and
    • allows you to hold on to either their current vehicle’s keys or (where this is not possible) their documents as security.
  • Encourage customers taking a courtesy vehicle to arrange their own insurance cover to reduce the likelihood of a claim on your policy. Obtain a copy of the customer’s cover note if they do arrange their own cover.
    • If a customer won’t take out insurance cover, you can make them responsible for all or part of the excess. Speak to your insurance broker for more information about transferring risks to your customer.
  • Keep a record of all the information gathered about courtesy vehicle loans and unaccompanied demonstrations for six months or, if a claim is made, the period that relevant insurers specify.
  • Before allowing the prospective purchaser to drive the vehicle alone, accompany them on a demonstration, so you can get them familiarised with the vehicle and any security devices. This may also be a good idea when supplying courtesy vehicles.
